Dedicated Accounting Firm vs. National Online Services (Bench, Pilot, QuickBooks Live)

Bottom line: Online bookkeeping services start cheap ($59–$299/month) but trade away dedicated expertise, advisory, and continuity. Bench’s roughly 12,000 customers learned that continuity isn’t guaranteed when it abruptly shut down days before tax season in December 2024. A dedicated firm like Acction Advisors costs more per month but gives you a named team, plus tax, payroll, and CFO advisory under one roof — and we serve clients nationwide, so you are not limited to what is down the street.

The pitch for national online bookkeeping is appealing: low price, slick software, sign up in minutes. For some businesses that might be exactly right. For others, the savings hide real trade-offs. Here is a fair look at the big national players and where a dedicated firm fits — with pricing current as of 2026.

The appeal of national online services

They are cheap, fast to start, and built around clean software. If your books are simple and you are comfortable being largely self-serve, they can be a reasonable fit. Credit where due — that low-friction experience is why they grew fast.

What you are actually getting

Bench — $299/month (Essential) to $499/month (Premium, which adds tax). The cautionary tale: Bench abruptly shut down on December 27, 2024, leaving about 12,000 businesses locked out of their books days before tax season. It was acquired out of insolvency by Employer.com and relaunched, but some former customers have since reported late monthly closes and support problems. The lesson is continuity — when your books live entirely inside one venture-backed platform, its problems become yours.

Pilot — $99/month for an AI-first tier with no dedicated human bookkeeper, or $499+/month (billed annually, plus a one-month onboarding fee) for a US-based bookkeeper on accrual accounting. A CFO add-on runs $1,750–$5,250/month. Pilot is built for venture-backed startups, so accrual and annual billing are the norm — a fit for that world, less so for a typical Main Street business.

QuickBooks Live Expert Assisted — about $59/month for a “do-it-with-me” service where an expert coaches you. As of 2026 it does not include a dedicated bookkeeper, ongoing reconciliation, cleanup, advisory, tax filing, 1099s, or payroll. It is guidance, not done-for-you bookkeeping.

Where a dedicated firm wins

  • A named team that knows your business — not a rotating queue or a chatbot.
  • Full service under one roof — bookkeeping, accounting, payroll, tax, and CFO advisory, coordinated instead of bolted together.
  • A real advisory relationship — someone who flags issues and brings the next step, not just a monthly report.
  • Continuity — your books are held by an established firm and are yours, not hostage to one platform’s funding.

Where national services genuinely fit

If your budget is rock-bottom, your books are simple, and you are happy to self-serve, a low-cost online service can do the job. We would rather tell you that than sell you something you do not need. The trade-off is what you give up: dedicated expertise, advisory, and the peace of mind that your provider will still be there in January.

Frequently asked questions

After Bench, are online bookkeeping services safe?

Many operate fine — but Bench showed the risk of housing your entire financial history inside a single venture-backed app. Whoever keeps your books, make sure you can export your data and that the provider has a track record of stability.

Is cheaper worth it?

It depends on what you need. If you only need transactions categorized, a $99 service may be enough. If you need reconciled books, advice, tax, and someone accountable, the low price is often more expensive once you add back everything it leaves out. As the saying goes, the poor man pays twice.

Do I have to be local to work with Acction?

No. Acction serves clients nationwide through TaxDome, our secure client portal — you get a dedicated team without being limited to a firm in your zip code.
