Small-Business Accounting Software Reviewed: QuickBooks, Xero, FreshBooks & Wave (2026)
We set up and manage all the major accounting platforms for clients, so we have no reason to sell you one over another. Here is the straight version: what each does well, where each falls short, and who each is actually for. Pricing is current as of October 2026.
QuickBooks Online — best for most
Paid plans run about $38/month (Simple Start) up to $340/month (Advanced). It is the most widely supported platform in the US, with 750+ integrations and, as of 2026, built-in AI features that auto-categorize transactions and chase late invoices.
Strengths: nearly every accountant knows it, deep features, and a huge app ecosystem.
Watch-outs: it raised prices again in 2026 — Advanced is now $340/month — and bills payroll and payments separately, so costs climb quickly as you move up tiers.
Best for: most small businesses that work with an accountant and want the safe, standard choice.
Xero — best for scaling and product businesses
Plans run about $25–$90/month, and every plan includes unlimited users — a real cost advantage for growing teams. Strong inventory and multi-currency support, with 1,000+ integrations.
Strengths: unlimited users on every plan, a modern interface, and solid inventory and multi-currency handling.
Watch-outs: fewer US accountants specialize in it than QuickBooks, the entry plan caps invoices, and some features sit on higher tiers.
Best for: businesses scaling up, adding users, or managing product inventory.
FreshBooks — best for service businesses that invoice
Plans run about $23–$70/month. It is built around invoicing, time tracking, and client work rather than full inventory accounting.
Strengths: simple to use, excellent invoicing and time tracking, and easy for non-accountants.
Watch-outs: no real inventory management, lower tiers cap billable clients, and it is less suited to product-based businesses.
Best for: freelancers, consultants, and service firms that bill clients.
Wave — best free option
Wave’s Starter plan is genuinely free for core invoicing and bookkeeping. As of mid-2026, features like automatic bank import and receipt capture moved to its low-cost Pro plan (about $16–$19/month), and you still pay separately for payments and payroll.
Strengths: free to start, clean, and enough for very simple books.
Watch-outs: the free tier got thinner in 2026, and it offers limited scalability, fewer integrations, and thinner support.
Best for: solo operators and side businesses with basic needs and tight budgets.
How to choose
Pick QuickBooks Online if you want the standard most accountants support, Xero if you are scaling or carry inventory, FreshBooks if your business is service and invoice-driven, and Wave if you are just starting and need free. The software is only half the job, though — it records data; it does not reconcile, interpret, or catch errors on its own.
How Acction fits in
We work in all four and help you pick the right one, then keep the books accurate inside it. The tool is the platform; the clean, decision-ready financials are the work we do on top of it.
Frequently asked questions
Which accounting software do most accountants prefer?
QuickBooks Online is the most widely supported in the US, which is why it is the safe default when you work with an accountant. Xero is the strong second and growing.
Is free software like Wave good enough?
For a solo operator with simple needs, yes. As you add transactions, employees, or inventory, you will usually outgrow it and want a paid platform with better support and integrations.
Does the software replace a bookkeeper?
No. Any of these records transactions, but none reconciles your accounts, fixes miscodings, or produces reliable statements on its own. The tool plus a bookkeeper is what gives you trustworthy numbers.
